Guest Wi-Fi Privacy Notice
Live notice · Last updated 2 September 2026
This notice explains how personal information is used when you connect to the guest Wi-Fi at Duke Of Gordon Hotel, Kingussie. The hotel is responsible for administering this guest Wi-Fi service. Privacy enquiries can be raised with Reception.
Information we collect
When you use the guest Wi-Fi we may collect the information you enter on the sign-in form, including your first and last name, email address, postcode, optional mobile number, whether you are travelling independently or with a tour/group, and the tour/group name where supplied.
We also process technical connection information needed to operate and secure the service. This may include the Wi-Fi MAC address presented by your device, IP address where available, device/host name, browser or device information, SSID, access point, connection times, authorisation status, traffic totals or rates reported by the network controller, and records of network actions such as temporary disconnects or blocks.
Why we use your information
We use guest and technical information to provide and administer the Wi-Fi, recognise returning devices during a current stay, troubleshoot faults, monitor service availability, protect the hotel network and other users, investigate misuse, and understand broad guest/travel patterns.
These activities are carried out because they are necessary to provide the requested Wi-Fi service and/or because the hotel has legitimate interests in operating, securing and improving its network and guest services.
Welcome and service emails
Where enabled, we may send a hospitality email connected with your current visit after you successfully use the guest Wi-Fi, for example “Welcome” or “Welcome back”. The system is designed to send this once for a genuine hotel visit rather than every time your device reconnects.
Email marketing and special offers
Marketing is optional and is not required to use the Wi-Fi. If you actively choose to subscribe, we record that choice and may send occasional hotel news, seasonal breaks and special offers. A welcome email may contain an invitation to subscribe if you have not already done so. That invitation requires a separate confirmation before your marketing preference is changed.
Where Campaign Monitor integration is enabled, opted-in contact details may be sent to Campaign Monitor so marketing emails can be managed and delivered. You can unsubscribe from marketing at any time using the unsubscribe option in a marketing email or by contacting the hotel.
Private and randomised MAC addresses
Modern phones, tablets and computers may use a private or randomised Wi-Fi MAC address. We record the address presented to the hotel Wi-Fi. It may not be the device's permanent hardware address and it may change.
Who can see the information
Access is limited to authorised hotel staff who need it for guest service, network administration, troubleshooting, security or approved marketing activity. Service providers used to operate the Wi-Fi, network controller, hosting or email systems may process information on the hotel's behalf where necessary to provide those services.
How long we keep it
Wi-Fi and visit records are kept for as long as they are reasonably needed for guest service, network administration, troubleshooting, security and related operational requirements, then deleted or anonymised when no longer required. Marketing consent records may be retained while the subscription remains active and for an appropriate period afterwards where needed to demonstrate the consent or unsubscribe record.
Your rights
Depending on the circumstances, UK data-protection law gives you rights to ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, data portability, or to object to certain processing. Where processing is based on consent, you can withdraw that consent at any time without affecting earlier lawful processing.
To make a privacy request, contact Reception and ask for a privacy/data protection enquiry. You also have the right to complain to the UK Information Commissioner's Office if you believe your information has been handled incorrectly.
Network security and access controls
The hotel may temporarily disconnect, restrict or block a device where this is reasonably necessary to operate or protect the network, other guests, staff or third parties. This does not change any separate marketing preference.
Changes to this notice
We may update this notice when the guest Wi-Fi service, our systems or legal requirements change. The latest version will be available from the guest Wi-Fi sign-in page.
